Using WRL Logbook for Club POTA Activation (Multiple Operators, One Account)

We have a POTA event coming up soon, and I’m trying to figure out how to best use WRL for logging. I have read all the multi-operator posts I could fine but am still not certain how or if this works.

I’ve created accounts for myself (AG5CC) and for our club (W2RRC). My hope is that during the event, all operators for the club, and any other participants/operators, can log contacts directly into the W2RRC account so that the park activation is properly recorded.

Here’s where I need clarification before the event:

  • We’ll have multiple operators running 2–3 stations at the park. Is it as simple as having each station log into the W2RRC logbook online?

  • If so, when an operator is logging contacts under the W2RRC account, how do they switch operator callsigns so that the log still credits the right person while staying tied to the W2RRC activation?

  • After the event, I’d like to create a log that can be submitted to POTA — both under W2RRC and individually for each operator who participates. Is this possible through WRL, or will I need to manage the logs differently?

Any guidance on how to set this up correctly — or confirmation on whether this workflow is even supported — would be greatly appreciated.

@AG5CC Hey Clayton,

You certainly can! What you would do would be to first create the logbook for the pota activation (setting the park, making sure the location is set properly, etc) then you would go into the logbook and click the callsign above the ‘Their Callsign’ field (see screenshot 1) and then update the ‘callsign type’ to ‘club’ (see screenshot 2) and save those changes. Then you would have each operator log into the club account and open the newly created logbook and make their contacts. Once your ready to export the logbook you can goto the logbook settings and goto the ‘export’ tab and then under the section ‘Export Log For Another Operator’, (see screenshot 3) enter the callsign of the operator you want to export the log for and click the ‘Export US-XXX.ADIF’ button.

Now that I’m thinking a little harder on this, exporting the log for another operator (last step) though will export the entire logbook and not just the QSO’s made by a particular operator.

We did something like this for field day, specific to the contest though. Let me reach out to the team and see if we can just re-use that functionality and add it into the general logbook settings and that would give you the exact functionality you need for this.

Thanks Brad, I appreciate the detailed reply.

I understand that anyone with the club login can access and make entries in the club logbook that’s been created. But how is a specific operator’s callsign tracked within that club logbook for those contacts — or is that even an option right now?

Sorry for the delay in getting back to you. We have the functionality to do this however it was only implemented for field day. I’ve asked the team if we could just re-implement it and add it as a setting in logbook settings but since we are right at the finish line of our major database upgrade and having to change everything in the app over to use the new database this is something that we wouldn’t be able to re-implement until we release the database upgrade. Which I don’t think will be in time for your event on the 18th, if so it would be cutting it REALLY REALLY close. I’ve added this as a higher priority ticket though to handle as soon as we push the database upgrade changes live.

Thanks Brad, I really appreciate the follow-up and the clear explanation. That makes perfect sense now.

I think this feature would be a big help for events like ours, especially for promoting WRL. That was my plan was to show everyone at our POTA activation how easy WRL is to use, both for the club and for individual operators to get credit for their activations.

I’ve got to admit, I’m really falling into severe like :face_blowing_a_kiss: with WRL! This would have been a huge push to get our club to sign up for a paid membership. That said, your fast, knowledgeable, and courteous response has definitely pushed me personally toward a paid membership.:+1:

I code a little myself and maintain CMS websites, so I understand and appreciate the challenges you outlined. I’m not sure we’ll be able to fully use WRL for this POTA event, since in the past we’ve always submitted both a club activation (with everyone’s contacts) and individual activations for operators who worked at least 10 contacts themselves.

Thanks again for your time and support. One last question, just to confirm I’ve got this right:

  1. I can set up a club logbook as you instructed by selecting “club.”
  2. I can share the club login with each station at the event so they can loginto the same club account.
  3. Each station can log simultaneously into the same club logbook for the event/park.
  4. At this time, all contacts will only be logged under the club callsign, and there isn’t currently a way to also track in the logbook which operator made those contacts.

Is that correct?

Yes that is correct. There should be no issues with that at all. We are pushing to get through this upgrade and then it will be back full steam ahead adding new features and functionality to the platform, both for the web app and mobile app as well as the new desktop app we are about ready to start testing as well.
